Applicant Data Policy

The current Privacy Notice for job applicants explains how personal data of prospective employees is handled during our company’s recruitment process. It provides details on how we collect, use, and protect the personal information you share with us when applying for a position or expressing interest in joining our team. Safeguarding the privacy of your personal data is very important to us.

This Privacy Notice outlines the types of information we gather during the job application and recruitment process, the legal basis for processing this data, our usage and retention practices, your rights as a data subject, and additional information required under the General Data Protection Regulation (GDPR) 2016/679 and relevant national data protection laws.

A separate privacy notice applies to the personal data of the Company’s employees.

Scope of Application

This Privacy Notice applies to you if you submit your CV or share any other personal information as part of your application for a specific position within the Company or in general communications expressing your interest in joining our team.

By applying for a position with us, you confirm that you have read and understood the terms of this Privacy Notice.

Categories of Personal Data

The Company is committed to protecting the privacy and security of your personal data. “Personal data” refers to any information that, alone or in combination with other data available to the Company, can be used to identify you. This does not include information that has been anonymized and cannot identify any individual.

During the recruitment / selection process—whether through responding to our advertisement, submitting your CV, or participating in interviews online or at our premises— we may collect the following types of personal data:

  • Identification and Contact Information: Such as your name, date of birth, home address, email address, phone numbers, social security number or VAT number (if applicable), passport number, and other contact details.
  • Education and Work Experience: Information on your education, academic background, relevant work experience, language proficiency, certifications or licenses (e.g., driving license), qualifications, skills, and eligibility to work in the country where the Company and Clients operate.
  • Application History: Details of any previous applications.
  • Personal Information from Your CV and Cover Letter: Including data shared within these documents.
  • Social Media Information: If referenced in your application, we may review details from your LinkedIn profile.
  • Interview and Selection Process Information: Such as interview notes and related communication, including email content.
  • Employment Preferences: Including information about the type of role you seek, current or desired salary, and preferred employment terms.
  • Special Categories of Personal Data: Such as nationality, citizenship, and any health information obtained during the application process.
  • Referral Information: Details provided by third parties with your consent. Providing personal data is voluntary but necessary for assessing your suitability for employment and for decision-making on potential employment. If you choose not to provide certain data, the recruitment process may be delayed, and we may be unable to thoroughly evaluate your application, potentially resulting in its rejection.

Purposes of Processing

To the extent permitted by law, we process your personal data for the following purposes:
  • Evaluating your skills, qualifications, and fit for the job.
  • Verifying information provided.
  • Reviewing any objections to recruitment decisions.
  • Confirming references with your prior consent.
  • Communicating about the recruitment process or future career opportunities.
  • Fulfilling legal obligations or protecting the Company’s interests (e.g., in legal proceedings).

Legal Basis for Processing

We process your personal data primarily to evaluate your application, based on Article 6(1)(b) of the GDPR.

Additionally, we may process data based on the Company’s legitimate interest (Article 6(1)(f)) to find the most qualified candidates and to retain recruitment records. We may also process data to fulfill legal obligations (Article 6(1)(c)) or with your consent (Article 6(1)(a)), for example, to inform you about future job opportunities.

Data Sharing and Recipients

Your data may be shared internally within the Company or within our affiliate network as needed to evaluate your candidacy. All internal sharing is secure and based on a “needto-know” principle, with staff bound by confidentiality agreements.

We may also share data with third parties, as allowed under Article 6(1)(f) of the GDPR, to support recruitment. This includes software providers or service providers (“processors”) who are obligated under the GDPR to protect your data. Personal data may be disclosed to regulatory authorities or third-party providers if required by law (Article 6(1)(c)).

In cases of data sharing with another data controller, their use of information will be governed by their own privacy policy. The Company selects trustworthy partners committed to data security but is not responsible for their data use.

Except as outlined above, your data will not be shared with third parties for marketing or other purposes.

Data Transfer to Other Countries

Your data generally remains within the European Economic Area. If data needs to be transferred outside the EEA and United States, we ensure appropriate protections, suchas EU Standard Contractual Clauses, to secure the data.

Accuracy of Personal Data

Please inform us promptly if any personal data you provided changes or is incorrect to ensure our records are accurate and up-to-date.

Data Retention Period

Personal data collected during recruitment is deleted after a decision is made and appeal period has expired, unless required to comply with statutory retention periods or for defense against legal claims. Typically, we retain applicant data for six (6) months after recruitment ends to consider future job opportunities, unless you request deletion or withdraw consent.

If hired, your data will be retained in accordance with the Company’s Employee Privacy Notice.

Your Rights Regarding Personal Data

Under the GDPR, you have rights concerning your personal data, including:
  • Access: To know if we process your data and to request access to it.
  • Rectification: To correct inaccurate or incomplete data.
  • Erasure: To request deletion.
  • Restriction: To limit data processing in certain cases.
  • Portability: To receive and transfer your data to another controller.
  • Objection: To object to processing, including profiling.
  • Withdrawal of Consent: To withdraw consent at any time if processing is based on consent.
